Who we are

Udoox is a family of business software products built by Braincrew Apps, an ERP development company and Official Odoo Partner with more than 15 years of experience. In this policy, "we", "us" and "our" mean Braincrew Apps, and "you" means the person or business using our website or our products.

This policy covers the Udoox website and the Udoox products: Restro, Hospitality, Retail, EduTech and Production.

Information we collect

We collect only what we need to sell, deliver and support our software:

• Details you give us. Your name, business name, email address, phone number, country and any message you send through a form on this website or to our sales and support addresses.
• Account details. The login and contact information created when you take a Udoox product or a trial.
• Billing details. Company name, billing address and tax registration numbers needed to raise an invoice. Card and bank details are handled by our payment provider and are never stored on our systems.
• Support communications. The emails, tickets and call notes created while we help you, including any files you choose to send us.
• Technical data. Browser type, device type, approximate location from your IP address, pages viewed and the time of the visit.

Your business data inside the product

The records you create while running your business in a Udoox product — your customers, orders, stock, students, guests, jobs and accounts — belong to you. They sit in your own database, and we do not read, sell, share or use them to train anything. Our people access your database only when you ask us to, for support or a migration, and only for as long as that work takes.

How we use information

• To answer your enquiry, prepare a quotation and arrange a demonstration.
• To deliver, install, update and support the product you bought.
• To raise invoices and process payments.
• To send service messages about releases, security updates and changes that affect you.
• To send occasional product news, which you can stop at any time.
• To understand how this website is used, so we can improve it.
• To meet our legal, tax and accounting obligations.

When we share information

We do not sell your personal information. We share it only in these situations:

• Service providers who work for us — hosting, email delivery, payment processing and support tooling — and only to the extent needed to do that work.
• Partners who implement or support your Udoox system, where you have asked us to involve them.
• Authorities, where the law requires it.
• A successor, if the business is ever sold or reorganised. You would be told before your information moved.

This website uses Google reCAPTCHA to keep spam off our forms, which is subject to Google's own privacy terms.

Security

We protect information with encrypted transmission, role-based access, separated environments and regular reviews of who can reach what. No method of transmission or storage is completely secure, so we cannot promise absolute security — but we can promise that we take it seriously and that we will tell you promptly if something goes wrong that affects you.

How long we keep it

Enquiry and marketing details are kept while the enquiry is live and for a reasonable period afterwards. Account, contract and invoice records are kept for as long as the law requires. Ask us to delete what is not legally required and we will.

Cookies

This website uses cookies to keep the site working, remember your preferences and understand which pages are read. You can block or delete cookies in your browser settings; parts of the site may then behave differently.

Your rights

You may ask us to show you what we hold about you, correct it, delete it, send you a copy in a portable form, or stop using it for marketing. Write to the address below and we will respond within a reasonable time.

Children

Our products are sold to businesses and institutions, and our website is not directed at children. Where an institution using Udoox EduTech records student information, that institution is responsible for that data and we process it only on their instructions.

Changes to this policy

When this policy changes we update the date at the top of the page. Where a change materially affects you, we will tell you directly.
